Electromech Solutions Ltd is a consultancy and engineering services firm providing professional, reliable, and innovative solutions across various sectors in Malawi. The company invites applications from suitably qualified candidates for the position of:
Responsibilities or duties
- Provide administrative and clerical support to the Directors and management team, including managing correspondence, schedules, and travel arrangements
- Coordinate meetings and events, including preparing agendas and recording minutes
- Maintain office filing systems, document control, and company statutory/compliance records
- Oversee office supplies, basic procurement, and supervision of support staff
- Identify and track consultancy and tender opportunities, and maintain a proposal register
- Assist in the preparation, formatting, and submission of EOIs and RFPs in line with requirements
- Ensure compliance with submission guidelines and coordinate proposal documentation (printing, binding, electronic submission)
- Maintain and update company databases, templates, and documents while ensuring confidentiality and version control
Experience needed
- 1–3 years’ experience in administration or document management (experience in EOIs/RFPs is an added advantage)
Any other provided details (e.g., benefits, work environment, team info, or additional notes)
- Strong organizational, planning, and communication skills with high attention to detail and ability to meet deadlines
- Proficiency in Microsoft Word, Excel, and PDF tools
- Professional, proactive, dependable, and well-organized, with ability to work independently and maintain confidentiality
- Tenable in Lilongwe, Malawi. The position is offered on a one-year renewable contract subject to satisfactory performance, with a competitive remuneration package.
