Duties and Responsibilities
- Providing secretarial and administrative support to the office.
- Receiving, recording, and dispatching correspondence.
- Typing letters, reports, minutes, and other official documents.
- Managing the Chief Executive Officer’s diary and scheduling appointments and meetings.
- Preparing meeting agendas and taking minutes.
- Maintaining an effective filing and records management system.
- Receiving visitors and handling telephone calls professionally.
- Maintaining office supplies and ensuring efficient office operations.
- Assisting in organising meetings, workshops, and official functions.
- Performing any other duties assigned from time to time.
Qualifications and Experience
Applicants should possess:
- A Diploma in Secretarial Studies, Office Administration, Business Administration, or a related field obtained from a recognised institution.
- A Malawi School Certificate of Education (MSCE).
- A minimum of two (2) years’ relevant work experience in a reputable organisation.
- Proficiency in Microsoft Office applications.
- Excellent communication, organisational, and interpersonal skills.
- High integrity, confidentiality, and the ability to work with minimum supervision.
Knowledge, Skills and Attributes
The ideal candidate should possess:
- Strong administrative and organisational skills.
- Good written and oral communication skills.
- Ability to meet deadlines and work under pressure.
- Good records management and customer service skills.
- Professionalism and teamwork.
- Excellent communication and interpersonal skills.
