Position Summary
The Finance Officer will support the financial management and compliance of donor-funded projects under OSSEDI Malawi. The role involves maintaining accurate accounting records, preparing donor financial reports, supporting audits, monitoring budget utilization, and ensuring adherence to organizational policies and donor regulations. The position requires a highly organized professional with strong analytical skills and experience in NGO financial management systems.
Key Responsibilities
- Prepare accurate monthly, quarterly, and annual financial reports.
- Support preparation and submission of donor financial reports in compliance with funding requirements.
- Maintain proper accounting records, supporting documentation, and filing systems.
- Monitor project budgets and expenditure to ensure effective utilization of funds.
- Prepare monthly bank reconciliations and resolve discrepancies.
- Process payments and maintain payment vouchers in accordance with internal controls.
- Support internal and external audit processes and respond to audit queries.
- Track budget variances and provide explanations where necessary.
- Ensure compliance with statutory obligations including PAYE, pension contributions, and withholding taxes.
- Support procurement documentation review to ensure financial compliance.
- Maintain fixed asset registers and project financial records.
- Participate in financial planning, budgeting, and forecasting processes.
- Ensure compliance with donor regulations and OSSEDI financial policies.
Qualifications and Experience
Education
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- ACCA, CPA, or progress toward a professional accounting qualification is an added advantage.
Experience
- Minimum 3 years of relevant experience in financial management within a local or international NGO.
- Demonstrated experience working with donor-funded projects.
- Experience supporting external and internal audits.
- Strong knowledge of financial reporting and compliance requirements.
Technical Skills
- Proficiency in Microsoft Excel and accounting software.
- Experience preparing donor financial reports.
- Knowledge of budgeting and financial monitoring systems.
- Familiarity with NGO statutory compliance requirements in Malawi.
- Understanding of internal control procedures.
Soft Skills
- Strong analytical and organizational skills.
- High level of integrity and attention to detail.
- Ability to meet deadlines and work independently.
- Strong communication and report-writing skills.
- Ability to work collaboratively within multidisciplinary teams.
Language
- Fluency in English and Chichewa (written and spoken).
