Position Overview

Position Purpose:

Perform functions to support Pact Malawi in financial management in order to provide accurate, current, and complete disclosure of financial transactions; records that identify source and application of funds effective control and accountability of funds, property, and other assets; and comparison of the expenditure versus budget amounts.Malawi career insights

Job Summary:

The Finance Officer works with the Finance team to ensure that Pact’s financial management, policies, and procedures and those of donors are adhered to at all times and accurate financial records are maintained.

Responsibilities or duties

Specific Duties and Responsibilities:

  • Prepare & processing of all the payments for various activities/training when arises.
  • Management and Verification of all payment request documents from the procurement team.
  • Taking the lead role of maintaining all financial documents (scanning, filing, and saving/uploading on Pact one drive)
  • Posting financial transactions into accounting software (Serenic)
  • Assist team in pooling documents for Audit and respond to audit queries whenever required
  • Carry out other Finance related tasks including:
  • Review staff advance requests for completeness before submission to the Senior Finance Manager for approval.
  • Review, check, and follow-up staff liquidations (travel expenses reports, other expenses’ reports) ensuring they are liquidated in a timely manner.
  • Review and issue monthly staff advance balances and advise the Senior Finance Officer of staff with large and long outstanding advances.
  • Review Payment vouchers with supporting documents and cheques prepared by the Finance Assistant for completeness before submission to the Senior Finance Manager for approval.
  • Prepare monthly reconciliation of the bank accounts making sure reconciling items are verifiable and outstanding items are adequately followed up and cleared.
  • Participate in staff orientation, training, development, and team-building for all staff within and outside the department.
  • Carry out other duties assigned by Finance and Operations Manager.
  • All other duties as assigned

Qualifications or requirements

Basic Requirements

  • Master’s degree and 8+ years relevant experience or equivalent combination of education and experience.
  • Other local education and experience:
  • Masters ’s Degree in Accounting, Finance, or Commerce: or holder of an Advanced Diploma in Accounting, Finance, or Commerce.
  • ACCA qualification will be added advantage.
  • At least Five years of progressively responsible experience in general accounting, including at least one year working with non-profit organizations and international donors.
  • Knowledge and familiarity with donors’ rules and regulations, especially USAID.
  • Prior experience working with online banking.
  • Knowledge of financial and accounting principles.
  • Working knowledge of accounting software, such as QuickBooks, ACCPAC, Serenic, etc.
  • Ability to perform account reconciliations.
  • Excellent oral and written communication skills in English and Chichewa.
  • Excellent attention to detail.
  • Strong training and capacity-building skills
  • Computer literacy and familiarity with standard office computer applications.
  • Ability to work under pressure and meet deadlines.
  • Analytical and report presentation skills.
  • Ability to work effectively in a team environment.
