Company Description
Gala Agriculture Ltd (Gala Macs), established in 2007 and based in Malawi, specializes in macadamia crop production. Since starting its planting operations in 2012, Gala has cultivated 2050 hectares of macadamias, including 10 main varieties. By utilizing irrigation and modern agricultural techniques, Gala accelerates the production process to achieve yields earlier than traditional timelines. The company aspires to become one of the leading macadamia operations in both Malawi and the Sub-Saharan African region.
Role Description
The Fuel/Lubes Supervisor is responsible for the effective management, control, distribution, and monitoring of fuel and lubricants across all Gala Agriculture farm operations. The role ensures fuel and lubes is delivered and issued strictly according to approved fuel budgets, accurately recorded, reconciled daily, and analyzed to prevent losses, overspending, or operational inefficiencies. The position plays a critical role in cost control, compliance, and operational continuity.
Key Responsibilities
- Execute and monitor approved diesel budgets per farm and operational unit, ensuring fuel usage remains within allocated limits.
- Arrange and oversee diesel delivery to respective farm locations based on approved allocations and operational requirements.
- Issue diesel & Lub to authorized vehicle, tractor, generator, and motorcycle users while ensuring all transactions are properly documented and signed.
- Conduct daily tank measurements and reconcile physical stock against issued quantities to detect discrepancies immediately.
- Record fuel issued per vehicle, equipment, or farm and track usage against mileage, engine hours, or operational output.
- Prepare accurate daily and monthly fuel issuance reports highlighting total consumption, remaining balances, and cost implications.
- Issuing GRN’s for fuel and lubes received.
- Analyze fuel consumption data and provide clear explanations for over-expenditure or under-utilization, including corrective recommendations.
- Implement control measures to prevent theft, leakages, unauthorized fuel withdrawals, or manipulation of records.
- Timely ordering of fuel and lube stock to avoid stock outs
- Work closely with the logistics team, Head Driver, Workshop Foreman, and Farm Operations Managers to monitor fuel efficiency and identify abnormal usage patterns.
- Maintain proper documentation and support internal audit reviews by providing reconciliations, variance reports, and usage logs.
- Perform other general office duties as advised from time to time
Qualifications & Competencies
- Diploma or relevant qualification in Logistics, Supply Chain, Accounting, or related field
- Strong numerical and analytical skills
- High integrity and accountability
- Strong record-keeping and reporting ability
- Advanced Microsoft excel skills
- Ability to analyze consumption data and interpret variances
- Previous experience in a similar role is an added advantage
- Knowledge of fuel control systems is an added advantage
