ABOUT THE ROLE
Central Medical Stores Trust (CMST) is Malawi’s leading public health supply chain institution, responsible for procuring, warehousing, and distributing quality medicines and medical supplies to all public health facilities across the country.
We are looking for a highly organized, discreet, and professional Personal Assistant to provide executive secretarial and administrative support to the Director’s office. This role is key to ensuring the smooth running of daily operations, coordinating high-level engagements, and maintaining the highest standards of confidentiality and efficiency.

KEY REQUIREMENTS
- Diploma in Secretarial Studies, Business Studies, or a related field from a recognized institution.
- Malawi School Certificate of Education (MSCE) or equivalent.
- Minimum 3 years of relevant experience in a busy office environment.
- Typing speed: at least 50 words per minute.
- Transcription speed: at least 100 words per minute.
- Knowledge of public sector systems and procedures is an added advantage.
- High integrity, professionalism, and discretion.
- Excellent communication and drafting skills in English.
- Strong organizational, time-management, and interpersonal skills.
- Ability to handle confidential information, work under pressure, and meet strict deadlines.
KEY RESPONSIBILITIES
- Manage and maintain the Director’s diary and schedule engagements efficiently.
- Arrange meetings, appointments, and official functions for the Director.
- Coordinate with the Administration Section to facilitate shared services and office support.
- Monitor implementation of operational plans and activities for the Director’s office.
- Draft, type, and process correspondence, reports, and official documents.
- Maintain an effective filing and records management system.
- Oversee office maintenance and ensure a conducive working environment.
- Safeguard the confidentiality of all official correspondence and information.
