The Malawi Red Cross Society (MRCS) was established in 1966 under Chapter 18:09 of the Laws of Malawi as a humanitarian organization with a presence in all 29 districts of the country. MRCS is a government-subvented organization mandated to provide relief and humanitarian assistance to people affected by conflicts and disasters, alleviate human suffering, and improve the quality of life of vulnerable communities.
MRCS is a member of the International Red Cross and Red Crescent Movement and delivers its mandate through relief and development programmes while upholding and disseminating the Movement’s Fundamental Principles. MRCS invites applications from suitably qualified, motivated, and experienced candidates to fill the following positions at its National Headquarters:
Position 2: Procurement Officer
Job Summary
Reporting to the Head of Logistics, the Procurement Officer will support MRCS procurement operations in line with approved procurement plans, policies, systems, and donor regulations. The role is responsible for sourcing, supplier and contract management, market analysis, and ensuring timely, costeffective, and compliant procurement of goods and services. The Procurement Officer may also serve as an operational buyer when required.
Key Duties and Responsibilities
- Receive, review, and verify procurement requests for clarity, specifications, budget codes, and approvals.
- Ensure procurement activities comply with approved procurement plans, MRCS policies, and donor procurement guidelines.
- Manage procurement processes in a timely and cost-effective manner.
- Generate and manage purchase orders in accordance with established procedures.
- Maintain and regularly update procurement trackers and provide weekly status updates to requesting departments.
- Maintain proper electronic filing of all procurement documentation.
- Conduct supplier onboarding, performance evaluation, and market price analysis.
- Engage suppliers to ensure quality standards and timely delivery of goods and services.
- Conduct supplier appraisals and due diligence checks.
- Collaborate with user departments to ensure goods and services meet required specifications.
- Prepare and submit monthly procurement reports to the Head of Logistics and Corporate Services by the 5th of each month.
- Undertake field travel when required.
Qualifications and Experience
- Bachelor’s degree in Procurement and Supply Chain Management or a related field.
- Professional qualification in procurement (e.g. CIPS) is an added advantage.
- Fully paid-up member of the Malawi Institute of Procurement and Supply Chain Management.
- Minimum of two (2) years’ relevant procurement experience, preferably within an NGO or development programme.
Required Knowledge, Skills, and Competencies
- Strong knowledge of procurement processes, donor rules, and compliance requirements.
- Proven supplier and contract management skills.
- Strong negotiation, communication, and interpersonal skills.
- Excellent organizational and reporting skills with ability to manage multiple priorities.
- Ability to work under pressure and meet deadlines.
- Willingness to travel and work in challenging environments when required.
- Fluency in written and spoken English.Communications & Media Studies
