Responsibilities or duties

Project Planning, Implementation, Monitoring & Reporting

  • Facilitate development, review, and implementation of project workplans, monitoring plans, and detailed implementation schedules.
  • Develop and maintain monitoring and MEAL tools, including Kobo forms, performance trackers, supervision checklists, dashboards, and reporting templates.
  • Establish and maintain systems to track household monitoring targets, awareness campaigns, registrations, re-registrations, relocations, and data submission rates.
  • Monitor and manage the performance of 3 Field Officers and 107 Community Specialists against agreed targets and KPIs.
  • Review weekly and monthly performance data and implement corrective actions where targets are not being achieved.
  • Coordinate field monitoring activities to ensure achievement of project targets and contractual obligations.
  • Conduct regular field supervision visits to verify data quality, monitor implementation progress, and identify operational challenges.
  • Ensure monitoring goes beyond stove installation to assess stove usage, adoption, fuel stacking behaviour, kitchen conditions, and maintenance practices.
  • Oversee collection of baseline, follow-up, and verification data required for carbon accounting and project reporting.
  • Maintain an up-to-date monitoring database and ensure data quality through regular verification and cleaning exercises.
  • Maintain an issues and risk register and ensure implementation challenges are identified, documented, escalated, and resolved in a timely manner.
  • Ensure all payment supporting documentation is complete, accurate, and submitted within agreed timelines.
  • Prepare and submit monthly payment recommendations for Community Specialists based on verified performance and completed activities.
  • Coordinate with Finance and project management to facilitate timely processing of Community Specialist payments.
  • Maintain a payment tracker and ensure all payment-related records are available for audit and verification purposes.
  • Identify and resolve payment discrepancies, missing documentation, and performance-related payment issues.
  • Develop and maintain a Community Specialist payment framework outlining payment requirements, documentation, approvals, and timelines.
  • Review and verify supporting documentation to confirm eligibility for payment.
  • Ensure timely submission of payment recommendations and supporting documents.
  • Coordinate with Finance to facilitate accurate and timely payment of Community Specialists.
  • Maintain complete and auditable payment records and trackers.

Collaboration & Capacity building

  • Supervise, mentor, and support Field Officers responsible for community-level monitoring activities.
  • Establish and implement a performance management system for Field Officers and Community Specialists.
  • Conduct monthly performance reviews against agreed targets and responsibilities.
  • Provide coaching and corrective support to underperforming staff and Community Specialists.
  • Conduct spot checks, data quality assessments, and field verification visits.
  • Coordinate and facilitate trainings, refresher trainings, and review meetings.

Reporting & Documentation

  • Compile, analyze, and review monitoring data and field reports.
  • Produce weekly, monthly, quarterly, and ad hoc reports highlighting progress against targets, challenges, risks, corrective actions, and lessons learned.
  • Track trends in stove usage, adoption rates, fuel stacking behavior, relocations, registrations, and awareness campaign coverage.
  • Provide evidence-based recommendations to improve implementation and project performance.
  • Ensure timely escalation of safeguarding concerns, operational risks, and implementation challenges.

Stakeholder Engagement

  • Engage district authorities, community leaders, and relevant stakeholders to support monitoring activities.
  • Coordinate with Futures Inc., district teams, and community structures to address implementation issues and strengthen accountability.
  • Support community feedback and grievance mechanisms.
  • Participate in project review meetings and stakeholder engagements.

Qualifications or requirements (e.g., education, skills)

KNOWLEDGE/QUALIFICATIONS AND SKILLS FOR THE ROLE

  • At least 3–5 years’ experience in project implementation, monitoring, evaluation, accountability, and learning (MEAL), preferably within energy, climate, environmental, health, livelihoods, or community development programmes.
  • Demonstrated experience in developing and managing monitoring systems, data collection tools, performance trackers, dashboards, and reporting frameworks.
  • Strong experience in supervising field-based data collection and ensuring data quality, accuracy, completeness, and timely reporting.
  • Demonstrated proficiency in KoboToolbox (KoBo Collect) or similar digital data collection platforms, including form design, deployment, data management, troubleshooting, and quality assurance.
  • Experience analysing monitoring data and producing reports that support performance management, decision-making, and adaptive project management.
  • Experience managing field teams and monitoring performance against targets, workplans, and key performance indicators.
  • Experience identifying, documenting, and escalating implementation issues, risks, and lessons learned, and supporting corrective actions.
  • Degree in Social Sciences, Monitoring and Evaluation, Development Studies, Environmental Health, or a related field.
  • Strong understanding of MEAL principles, performance monitoring, and data quality assurance.
  • Practical knowledge of KoboToolbox (KoBo Collect) or similar digital data collection platforms.
  • Understanding of indicator tracking, target monitoring, and results-based management.
  • Basic understanding of improved cookstove adoption, household fuel use, and behaviour change monitoring.
  • Familiarity with climate, environmental, natural resource management, or carbon projects is an added advantage.
  • Proficiency in Microsoft Office, particularly Excel.
  • Strong analytical, communication, and report-writing skills
  • Willingness to travel to remote project sites. Must possess a valid motorcycle riding licence and be willing and able to ride a motorcycle for field work.
