EKHAYA LUXURY RESORT, a subsidiary of Ekhaya Group of Companies based in Mangochi, is seeking applications from suitably qualified and experienced individuals to fill the following vacant position.

RECEPTIONIST

Job Purpose

To create a welcoming and professional front office environment where guests feel valued, ensuring exceptional service delivery that enhances guest satisfaction and encourages repeat business.

RESPONSIBILITIES

  • Ensure all guest registration cards are accurately completed with relevant details and properly filed upon departure.
  • Maintain strict control of the reception float, ensuring all balances and checks are completed at the end of each shift.
  • Create a warm and welcoming atmosphere for guests to enhance their overall experience.
  • Review daily arrival and departure lists, identifying special guest needs such as VIPs, room allocations, and transfers.
  • Answer telephone calls promptly within three rings using appropriate language and in line with hotel standards.
  • Record and deliver guest messages within 10 minutes of receipt.
  • Respond to guest requests efficiently to ensure maximum customer satisfaction.
  • Support all Front Office operations, including reservations, switchboard, and porter services when required.
  • Ensure strict adherence to check-in and check-out procedures, capturing accurate guest and billing details.
  • Confirm method of payment at check-in and ensure advance payment for cash-paying guests.
  • Verify that all credit arrangements are supported by proper documentation such as credit card details, local purchase orders, or authorization letters.
  • Follow proper authorization procedures for cheque and credit card payments.
  • Ensure all outlet bills are correctly posted and reconciled at the end of each shift.
  • Maintain accurate records and ensure all guest accounts are fully settled upon departure.
  • Perform any other duties as assigned by Management.

Qualifications & Work Experience

  • Diploma in Hospitality Management or a related field.
  • Minimum of three (3) years’ experience in a similar role.
  • Strong computer literacy skills.
  • High level of integrity and professionalism, particularly in handling financial transactions.

  • Be detail-oriented and able to manage multiple tasks efficiently.
