We are currently seeking a highly organized, detail-oriented Secretary to join our firm. The successful candidate will be responsible for providing comprehensive administrative support to our legal team, ensuring that all office operations run smoothly and that our clients receive the highest level of service.
Responsibilities or duties
- Prepare and proofread essential legal documents, ensuring strict adherence to court filing rules and formats.
- Manage incoming and outgoing phone calls, emails, and physical mail, ensuring all inquiries are handled promptly and professionally.
- Coordinate attorney calendars, schedule meetings and track critical court deadlines.
- Handle sensitive and confidential client information with the utmost discretion and integrity, adhering to all ethical standards of the legal profession.
Qualifications or requirementsÂ
- Advanced computer literacy, including mastery of the Microsoft Office Suite
- Exceptional organizational skills with the ability to manage multiple competing priorities in a fast-paced environment
- Superior command of English grammar, spelling, and punctuation, combined with the ability to transcribe audio dictation accurately and quickly.
- A proven track record of meeting strict deadlines and maintaining a professional, helpful attitude under pressure.
Education and Experience
Candidates should possess a Malawi School Certificate of Education (MSCE) and a diploma in Administrative / Secretarial Studies obtained from a recognized institution or equivalent. Prior experience in a law firm setting is highly desirable, as in deep understanding of legal terminology and local court procedures.
