VACANCY FOR THE POSITION OF ACCOUNTS CLERK
REPORTING TO: Church Accountant
JOB TYPE: Three-year contract subject to renewal depending on performance
POSITION PURPOSE
The Accounts Clerk will be responsible for providing clerical and operational accounting support to the Church Accountant by accurately recording financial transactions, maintaining accounting records, and ensuring timely processing payments, receipts, and reconciliations in line with church financial policies.
Responsibilities or duties
KEY DUTIES AND RESPONSIBILITIES
- Receiving, receipting, and recording weekly offerings and contributions for the main and development accounts using the church accounting system.
- Posting financial transactions into cash books and accounting systems on a daily basis.
- Preparing payment vouchers and supporting documentation for approval.
- Checking requisitions to ensure they have budgetary provisions before submission for authorization.
- Maintaining and updating petty cash records and ensuring proper accountability.
- Assisting in carrying out banking activities, including deposits and withdrawals.
- Preparing monthly bank reconciliation statements under the supervision of the Church Accountant.
- Assisting in the preparation and settlement of utility bills such as water, electricity, and telephone.
- Maintaining proper filing systems for financial documents, both electronic and manual.
- Ensuring regular backup of accounting data and electronic records.
- Assisting in the preparation of financial reports as required.
- Supporting audit processes by providing records and documentation when required.
- Performing any other accounting or clerical duties as assigned by the Church Accountant.
Qualifications or requirements (e.g., education, skills)
MINIMUM QUALIFICATIONS
- Diploma in Accounting, Bookkeeping, or Finance from a recognized institution.
- Registration with the Institute of Chartered Accountants in Malawi (ICAM) will be an added advantage but not mandatory.
Experience needed
EXPERIENCE
- At least 2 years’ experience in an accounts or finance-related role, preferably in a church, NGO, or busy organization.
KEY COMPETENCIES, ATTRIBUTES AND SKILLS
- A demonstrated Christian faith commitment.
- Basic knowledge of bookkeeping and accounting principles.
- Proficiency in Microsoft Word and Excel.
- Working knowledge of computerized accounting packages such as Sage Pastel or QuickBooks is an added advantage.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality of financial and church records.
- Good interpersonal and communication skills.
- Ability to work as part of a team and support church ministries.
- Honest, reliable, self-motivated, and willing to learn.
- Willingness to work on Sundays when required.
