We are hiring an Administrative Assistant to join our Blantyre team. This role is ideal for a mature, responsible and well-organised professional who will provide essential administrative, HR and accounting support to ensure smooth day-to-day operations across the branch.

Responsibilities or duties

  • Handle incoming calls, emails and general office enquiries
  • Maintain operational, HR and compliance filing systems
  • Prepare delivery notes, invoices, purchase orders and quotations
  • Operate the weighbridge for all incoming and outgoing raw material and vehicle movements
  • Verify incoming raw materials including aggregate, sand and cement deliveries
  • Update ERP system records for stock, deliveries, accounts and HR matters
  • Support stock control, PPE records and periodic stock take
  • Assist the Sales team with customer administration and follow-ups
  • Support HR administration including attendance, timesheets and staff records
  • Assist dispatch with scheduling and tracking concrete deliveries
  • Record petty cash, expenses and assist with basic accounts administration
  • Process supplier invoices and assist with payroll and reporting
  • Coordinate communication between operations, accounts, HR and management
  • Ensure proper safety, quality-control and operational documentation

Qualifications or requirements 

  • Degree in Accounting, Business Administration or related field
  • Mature, responsible and well-organised individual
  • Strong proficiency in Microsoft Excel, Word, Outlook and ERP systems
  • Excellent communication, multitasking and organisational abilities
  • High level of integrity, confidentiality and attention to detail

Experience needed

  • Minimum 5 years of post-qualification experience in a similar administrative or accounting role
