Job Overview

Position: Executive Assistant

Reports To: Human Resources and Administration Manager

The Executive Assistant will provide high-level administrative, organizational, and coordination support to the Chief Executive Officer (CEO) and the Executive Management Team. The role is responsible for managing executive schedules, coordinating meetings and travel, handling correspondence, maintaining confidential records, and ensuring the smooth operation of the Executive Office.

Key Responsibilities

Executive Support

  • Manage the CEO’s diary, appointments, and daily schedule.
  • Coordinate meetings, appointments, and executive engagements.
  • Screen and prioritize correspondence, emails, and communications.
  • Draft, proofread, and format letters, reports, presentations, and other official documents.
  • Maintain organized executive filing systems.
  • Provide administrative support to the Executive Management Team.

Communication & Correspondence

  • Receive and direct telephone calls, emails, and correspondence appropriately.
  • Communicate executive instructions and decisions promptly.
  • Maintain professional relationships with clients, regulators, service providers, and other stakeholders.

Travel & Event Coordination

  • Coordinate local and international travel arrangements for the CEO and Executive Management.
  • Organize Board meetings, executive meetings, conferences, workshops, and corporate events.

Administration & Records Management

  • Maintain confidential records and documentation.
  • Ensure proper document control and record retrieval.
  • Maintain executive registers, schedules, and trackers.
  • Monitor key deadlines, submissions, and regulatory requirements.
  • Handle sensitive information with discretion and confidentiality.
  • Support day-to-day operations of the Executive Office.
  • Process administrative and procurement requests in line with company procedures.
  • Perform other duties assigned by management.

Qualifications & Experience

Minimum Qualifications

  • Diploma in Business Administration, Management, Secretarial Studies, Public Administration, Communications, or a related field.
  • A professional qualification in Executive Assistance, Secretarial Studies, or Administration will be an added advantage.

Experience

  • Minimum of three (3) years’ experience as an Executive Assistant, Personal Assistant, Executive Secretary, Office Administrator, or in a similar role.
  • Experience supporting senior executives or executive management is highly desirable.
  • Experience in the banking, financial services, or microfinance sector is an added advantage.

Required Skills & Competencies

  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • High attention to detail.
  • Ability to maintain strict confidentiality.
  • Strong interpersonal and stakeholder management skills.
  • Excellent problem-solving and administrative abilities.
  • Ability to work independently with minimal supervision.
  • Ability to perform effectively under pressure and meet deadlines.
  • High levels of integrity, professionalism, and reliability.
