As GiveDirectly Malawi scales rapidly, the HR function is growing to match. We are looking for an HR Associate to work directly under the guidance of the HR Manager, providing reliable, hands-on support across all areas of HR operations. This role is based in our field office, ensuring that day-to-day HR support is accessible to field staff where they work. Talent Management and Recruitment Support

  • Assist with the recruitment process for open positions as directed, including posting job adverts, coordinating interview logistics, and maintaining  communication with candidates throughout the process.
  • Support the administration of skills assessments and reference checks, ensuring a consistent and organised process from application through to offer stage.
  • Assist in coordinating the onboarding of new staff, including preparing onboarding packs, scheduling orientation sessions, and following up on benefits enrolment, payroll set-up, and system access under the HR Manager’s direction.

HR Administration and Record-Keeping

    • Maintain accurate, confidential, and audit-ready personnel files for all staff in line with GiveDirectly’s data policies, local labour regulations, and HR best practice; flagging any gaps or issues to the HR Manager promptly.
    • Assist with payroll administration by compiling and verifying staff data, allowances, and entitlements on a monthly basis; all payroll submissions will be reviewed and approved by the HR Manager before processing.
    • Support benefits administration by liaising with insurance providers and other vendors as directed, assisting with enrolment, renewals, and routine claims queries.
    • Manage leave and timesheet records, ensuring entries are accurate and approvals are tracked; escalate any patterns or concerns to the HR Manager.
    • Handle routine HR policy queries from staff, providing clear and consistent responses within defined guidelines; escalate complex, sensitive, or ambiguous matters to the HR Manager without exception.

Performance Management Support

  • Assist in monitoring progress against individual development plans by following up with managers and staff and reporting back to the HR Manager on status.

Organisational Culture and Engagement Support

  • Assist in the coordination and delivery of team-building activities and staff engagement events as directed by the HR Manager, taking ownership of logistics and follow-through.
  • Support efforts to embed GiveDirectly’s culture and values across key moments in the employee lifecycle, including onboarding, team events, and internal  communications, in line with the HR Manager’s direction

Desired Qualifications and Experience

  • 2 to 4 years of progressive experience in an HR role, ideally within an NGO, international development organisation, or fast-growing environment.
  • Degree in Human Resources Management, Business Administration, or a related field.
  • Solid working knowledge of core HR functions including recruitment, onboarding, payroll administration, leave management, and employee relations.
  • Familiarity with Malawi labour law and HR compliance requirements.
  • Strong attention to detail and a high degree of accuracy in record-keeping and data management.
  • Good interpersonal skills and the ability to build trust with staff at all levels, including field teams.
  • Clear and professional written and verbal communication skills.
  • Comfortable working in a fast-paced environment with competing priorities and a degree of ambiguity.
  • Proficiency in Microsoft Office and experience with HR or employee management systems such as BambooHR is an advantage.
  • Strong alignment with GiveDirectly’s values and a genuine commitment to the organisation’s mission.
