Role Overview

The Procurement Officer (PO) will support the Operations and Procurement Manager (OPM) in executing GiveDirectly’s procurement function. The role is responsible for sourcing competitive quotations, prequalifying and managing vendors, and maintaining accurate procurement records, all of which feed directly into the OPM’s oversight of the procurement policy, vendor relationships, and budget compliance. The PO will reward strong attention to detail, sound judgment in vendor evaluation, and a commitment to transparent, well-documented procurement practices.

Responsibilities or duties

Key Responsibilities and Duties

  • Source and compile competitive quotations from vendors for goods, services, and works, in line with GiveDirectly’s procurement thresholds and policy
  • Conduct market surveys to identify potential suppliers and stay informed on current pricing trends
  • Prepare quotation comparison sheets and bid analyses to support the OPM’s procurement decision-making
  • Support the process of prequalifying vendors, verifying business registration, compliance documents, references, and capacity as per the organisation’s procurement policy.
  • Maintain and regularly update a prequalified vendor database/roster, organized by category of goods or services
  • Support periodic vendor performance evaluations and follow up on any corrective actions with vendors
  • Coordinate with vendors on delivery, repair, and maintenance timelines for procured supplies, including equipment used by field officers and mobile phones used by recipients
  • Assist in the procurement of inventory, supplies, and equipment, and support implementation of GiveDirectly’s procurement policy in day-to-day sourcing activities, as guided by the OPM
  • Prepare purchase requisitions, purchase orders, and procurement contracts for the OPM’s review and approval
  • Maintain organized, audit-ready procurement records, including quotations, purchase orders, contracts, and vendor files
  • Ensure procurement processes comply with GiveDirectly’s procurement policy and any applicable donor requirements
  • Flag procurement risks, delays, or instances of non-compliance to the OPM and management team in a timely manner
  • Provide periodic procurement status reports and trackers to the OPM, and support with ad hoc procurement-related tasks as needed

Qualifications and Experience

  • 3 or more years of experience in a procurement, purchasing, or supply chain role
  • A bachelor’s degree or higher in Procurement, Logistics or Supply Chain Management
  • Membership to professional bodies is an added advantage
  • Strong negotiation skills and sound judgment in vendor evaluation
  • High attention to detail and strong record-keeping/documentation skills
  • Strong verbal and written communication skills
  • Strong ownership mindset and ability to work in a self-directed manner
  • Experience using procurement, payment, or expense management systems (e.g. Tipalti, Nexonia, or similar) is an added advantage
  • Proficient with office software (Microsoft Office, Google suite, etc.), particularly Excel/Sheets
  • Comfortable operating in a culture of direct, candid feedback
  • Proficiency in English required
