Background information about the job or company

As a SHEQ and Fleet Coordinator within the Corporate Services function, you will be based in Lilongwe and play a pivotal role in ensuring safe, compliant, and efficient fleet operations while embedding SHEQ principles across all activities. You will support operational effectiveness and regulatory compliance across fleet and SHEQ domains, spending approximately 50% of your time in the regions where vehicles operate.

Role Responsibilities

  • Fleet Management
  • Maintain updated records for company and leased vehicles.
  • Ensure timely servicing, inspection, and insurance compliance.
  • Monitor fuel usage and adherence to fuel policy.
  • Manage driver schedules, licenses, and performance.
  • Ensure vehicle availability and readiness for operations.
  • Implement and monitor fleet log systems for driver behavior.
  • Prepare weekly, monthly, and annual fleet reports.
  • Ensure accident reporting aligns with Malawian law and company policy.
  • Coordinate vehicle replacement plans and lease transitions.
  • Audit fleet (HTM/MPs/SPs) for roadworthiness and compliance.
  • SHEQ Coordination
  • Support implementation of Helios Towers Malawi SHEQ Strategy and Objectives.
  • Conduct regular inspections of sites and vehicles for SHEQ compliance.
  • Escalate non-conformance issues and recommend corrective actions.
  • Maintain accurate SHEQ reporting, data collection, and document control.
  • Facilitate ISO certification processes and audits.
  • Deliver SHEQ training and track progress across operations.
  • Participate in accident investigations and root cause analysis.
  • Support delivery of HT Group SHEQ campaigns and initiatives.

Requirements for the Role

  • Education: Undergraduate degree in Fleet Management, Logistics, Business Administration, or Transportation, EHS, EST.
  • Experience: Minimum 5 years in fleet coordination or SHEQ-related roles within reputable organizations. Experience in maintenance or construction-related environments and matrix-style organizations with contracted partners.
  • Certifications: IOSH Managing Safely certification, NEBOSH, IRCA Approved Lead Auditor Training (or equivalent) preferred.
  • Technical Skills: Strong understanding of MS Office (Word/Excel/PowerPoint).
  • Language Skills: Proficient in English (written and verbal).

  • Provide updates and feedback to line manager.
  • Lead team meetings and contribute technical expertise.
  • Strong interpersonal/influencing and presentation skills.
