Position Overview
We are looking for a detail-oriented and organized Accounts and Administrative Assistant to support financial, operational, and administrative functions.
Key Duties and Responsibilities
- Record daily financial transactions
- Prepare and issue client invoices
- Follow up on payments and manage receivables
- Process payments to suppliers and outworkers
- Maintain petty cash and track expenses
- Assist in financial reporting and reconciliations
- Support budgeting for projects and campaigns
- Maintain accurate financial records
- Organize and maintain company documents and client files
- Handle emails, calls, and correspondence
- Schedule meetings and manage calendars
- Manage office supplies and operations
- Assist in coordinating shoots and production activities
- Track project costs and job progress
- Support logistics for media projects (transport, materials, allowances)
- Liaise with suppliers and service providers
- Maintain supplier records
- Support HR tasks (staff records, attendance)
- Assist with recruitment documentation
- Ensure compliance with company policies and procedures
Qualifications and Requirements
- Diploma or Degree in Accounting, Finance, or related field
- Minimum of 2 years’ experience in accounting and administration
- Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Good communication and interpersonal skills
- Must be based in Blantyre
