1. POSITION OVERVIEW

A Christian NGO dedicated to supporting people with disabilities, we are seeking a competent Accounts Assistant to build a transparent and systematic administrative environment. This role goes beyond simple bookkeeping; you will serve as a “Gatekeeper” to ensure that the branch’s Rule is strictly observed in the field.

2. Qualification

Education: Bachelor’s Degree in Accounting, Auditing, Information Systems, or a related field (Graduates from professional institutions like MCA preferred).

- Experience: Minimum 1–2 years of hands‑on experience in accounting or administrative roles.

- Skills: Intermediate level MS Excel (Essential: Proficiency in functions and data organization).
Familiarity with accounting software (QuickBooks, Sage, etc.) is highly preferred.

- Mindset: High level of Accuracy (Attention to Detail) and professional integrity.
Respect for disability inclusive development and alignment with Christian NGO values.

Strong Character: The ability to politely but firmly correct colleagues or superiors if a request violates the established Rule.

3. Key Responsibilities

A. Accounting & System Management

- QuickBooks Operations: Accurately record and manage all expenditure data in QuickBooks (Experience preferred; rapid learning required if inexperienced).

Payroll & Tax Management: Manage monthly staff payroll, payslips, and pension schemes. Execute statutory filings (PAYE, VAT, TEVETA) via Msonkho Online. Ensure all staff‑related expenses comply with local labor and tax laws.

B. Compliance & Gatekeeping (Crucial Role)

- Review of Requisitions: Perform the primary review of all internal requisitions to ensure they comply with the branch’s internal regulations.

- Evidence Management: For ‘Fast-track’ (Urgent) cases, strictly verify that objective evidence (utility bills, official letters, WhatsApp screenshots, etc.) is attached to justify the exception.

- Justification Filtering: Act as a ‘Gatekeeper’ to check if valid justification letters are attached for non‑compliant cases and request supplementary documents when necessary.

C. Administrative Support

- Document Archiving: Systematically archive all receipts and financial documents in both physical and digital formats.

- Asset & Utility Management: Proactively manage office supplies, vehicle fuel logs, and utility bills (water, electricity) to prevent arrears and ensure timely payments.

4. Preferred Attributes

- Experience in networking and administrative liaison with government bodies (District Council, etc.).

- A flexible yet principled attitude when dealing with a fast‑paced field environment (Fast‑track situations).
