Job Context

Are you an organized, proactive administrative professional who thrives in a fast-paced environment? Sparc Systems is looking for a versatile Executive Administrative Assistant to streamline our day-to-day operations, support key executive functions, and manage our Test Center.

Duties

  • Executive Support: Provide administrative support across all departments and assist Marketing/Sales during event execution.
  • Test Center Operations: Administer all exams conducted at the Sparc Training Center, manage client requests/renewals, resolve test center queries, and maintain operational documentation.
  • Financial & Inventory Management: Manage and reconcile office budgets and petty cash. Track stock levels, order office supplies, and source cost-effective vendor deals.
  • Facilities & Utilities: Manage utility accounts (ESCOM & Waterboard), coordinate office repairs with service providers, maintain premises cleanliness.
  • Team Supervision & Communication: Supervise junior staff (drivers, cleaners, grounds staff, security). Manage incoming calls, operate office equipment, and handle live chat customer inquiries.

Qualifications

  • Proven two years experience in Office management roles.
  • Proficient in Microsoft Office Packages.
  • Excellent organizing and multitasking ability.
  • Outstanding Communication skills.
  • Diploma in Business Administration, Human resources and information Technology
