Milanzi Interiors is seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative and executive support. KEY RESPONSIBILITIES
Executive and Administrative Support
- Manage and coordinate the CEO’s calendar, meetings, appointments, and daily schedule
- Schedule departmental meetings and follow up on action points with teams
- Coordinate site visit schedules and project-related meetings
- Prepare meeting packs, reports, presentations, and executive documents
- Take professional meeting minutes and circulate follow-ups
- Track approvals, signatures, and pending executive matters
- Manage reminders, deadlines, and important timelines
Travel & Event Coordination
- Coordinate travel bookings, hotel reservations, and flight arrangements
- Manage conference applications, registrations, and executive events
- Coordinate logistics for business meetings and executive engagements
Business Coordination & Research
- Research and identify business opportunities, tenders, conferences, and industry events.
- Coordinate with client personal assistants, executives, and external stakeholders.
- Follow up with staff and departments to ensure tasks and deadlines are met.
- Support the CEO with day-to-day executive coordination and operational follow-ups.
MINIMUM REQUIREMENTS
- Minimum of 6 years’ experience in an Executive Assistant, Personal Assistant, or senior administrative role
- With a Bachelor’s Degree in Business Administration, Management, Communications, or related field
- Strong written and verbal communication skills
- Exceptional organizational and multitasking abilities
- High level of confidentiality and professionalism
- Ability to work independently and under pressure
- Strong attention to detail and problem-solving skills
- Excellent time management and follow-up skills
- Proficiency in Microsoft Office, Google Workspace, and digital scheduling tools
- Ability to coordinate multiple priorities in a fast-paced environment
