Milanzi Interiors is seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative and executive support. The ideal candidate must possess exceptional organizational, communication, and coordination skills, with the ability to work in a fast-paced and high-pressure environment while maintaining professionalism, confidentiality, and attention to detail.Malawi business directory

KEY RESPONSIBILITIES

Executive and Administrative Support

  • Manage and coordinate the CEO’s calendar, meetings, appointments, and daily schedule
  • Schedule departmental meetings and follow up on action points with teams
  • Coordinate site visit schedules and project-related meetings
  • Prepare meeting packs, reports, presentations, and executive documents
  • Take professional meeting minutes and circulate follow-ups
  • Track approvals, signatures, and pending executive matters
  • Manage reminders, deadlines, and important timelines

Travel & Event Coordination

  • Coordinate travel bookings, hotel reservations, and flight arrangements
  • Manage conference applications, registrations, and executive events
  • Coordinate logistics for business meetings and executive engagements

Business Coordination & Research

  • Research and identify business opportunities, tenders, conferences, and industry events.
  • Coordinate with client personal assistants, executives, and external stakeholders.
  • Follow up with staff and departments to ensure tasks and deadlines are met.
  • Support the CEO with day-to-day executive coordination and operational follow-ups.

MINIMUM REQUIREMENTS

  • Minimum of 6 years’ experience in an Executive Assistant, Personal Assistant, or senior administrative role
  • With a Bachelor’s Degree in Business Administration, Management, Communications, or related field
  • Strong written and verbal communication skills
  • Exceptional organizational and multitasking abilities
  • High level of confidentiality and professionalism
  • Ability to work independently and under pressure
  • Strong attention to detail and problem-solving skills
  • Excellent time management and follow-up skills
  • Proficiency in Microsoft Office, Google Workspace, and digital scheduling tools
  • Ability to coordinate multiple priorities in a fast-paced environment
