Job Overview

The Executive Assistant will provide high-level administrative, operational, and strategic support to the Directors, ensuring efficient daily operations and effective stakeholder engagement.

The Role

Support Directors with administrative and strategic tasks

Coordinate operations and communication across teams

Ensure smooth and efficient office management

Key Responsibilities

Administrative & Executive Support

  • Manage complex calendars, meetings, and appointments
  • Screen and prioritize emails, calls, and correspondence
  • Prepare agendas, take minutes, and follow up on action items
  • Draft and format reports, presentations, and official communication

Operations & Coordination

  • Liaise with staff, clients, and external stakeholders
  • Coordinate travel arrangements (local and international)
  • Organize board meetings, company events, and planning sessions
  • Maintain confidential records and documents

Strategic & Research Support

  • Conduct research and prepare briefing notes
  • Track deadlines, projects, and key performance indicators
  • Support special projects and assignments

Office Management

  • Oversee administrative functions of the Directors’ office
  • Manage budgets, expenses, and procurement
  • Control access to Directors professionally

Qualifications and Skills

  • Diploma in Business Administration, Management, Communications, or related field (Bachelor’s degree is an added advantage)
  • Minimum 4–5 years’ experience as an Executive Assistant or similar role
  • Excellent written and verbal communication skills
  • Advanced proficiency in MS Office, Google Workspace, and virtual meeting tools
  • Understanding of business operations and corporate governance
