Background
The Executive Associate will provide a wide range of administrative and operational support to the Representative, ensuring the smooth functioning of the Representative’s office and contributing to the overall efficiency of the Country Office. This role requires a high degree of discretion, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage the Representative’s schedule, including prioritizing appointments, coordinating meetings, and making travel arrangements.
- Prepare and process correspondence, reports, and other documents, ensuring accuracy and adherence to UNICEF standards.
- Organize and coordinate meetings, workshops, and events, including logistical arrangements and preparation of materials.
- Maintain and manage the Representative’s filing system, ensuring confidentiality and easy retrieval of information.
- Provide administrative support to the Representative in managing budgets, processing invoices, and tracking expenses.
- Liaise with internal and external stakeholders, including government officials, UN agencies, partners, and the public, on behalf of the Representative.
- Assist in the preparation of presentations, briefing notes, and other communication materials.
- Handle incoming and outgoing mail and communications, prioritizing and distributing as necessary.
- Perform other related duties as assigned by the Representative.
Qualifications
- Completion of secondary education is required. A first-level university degree in a relevant field (e.g., Business Administration, Public Administration, Communications) is an asset.
- A minimum of five years of progressively responsible administrative or secretarial experience is required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Discretion and ability to handle confidential information.
- Experience working in an international organization or NGO is an asset.
