ABOUT THE ROLE

Blantyre Baptist Church, a member of the Baptist Convention in Malawi, operates well-established primary schools and Blantyre Baptist Academy in Blantyre. The school invites applications from suitably qualified, dynamic, and experienced individuals to fill the position of Fees Officer based at Blantyre Baptist Academy, Nancholi.

Reports to: Finance Manager

Job Purpose:

The Fees Officer will be responsible for the effective management of student fee collections, payment processing, debt recovery, and parent engagement.

KEY REQUIREMENTS

Qualifications:

  • Hold a Bachelor's Degree in either Accounting, Finance, or Marketing from a recognized institution.
  • At least 2 years of relevant working experience, preferably in accounts receivable, debt recovery, sales, or school administration.

Skills & Competencies:

  • Proven sales and customer relationship management skills.
  • Experience dealing directly with customers, clients, parents, or other stakeholders.
  • Strong numerical, analytical, reconciliation, and record-keeping skills.
  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Good knowledge of payment processing and debt recovery procedures.
  • Excellent communication, negotiation, and interpersonal skills.
  • High degree of integrity, confidentiality, accuracy, and professionalism.

  • Manage the collection, recording, reconciliation, and banking of student fees through various payment channels.
  • Maintain accurate and up-to-date student payment records, issue receipts, and promptly identify and report discrepancies.
  • Manage fee invoicing, debt recovery, and follow-up of outstanding accounts, including payment reminders and approved payment plans.
  • Communicate professionally with parents and guardians regarding fees, arrears, payment arrangements, and related queries.
  • Engage with prospective parents, promote the school's programmes and services, conduct school tours, and support student enrolment and retention initiatives.
  • Maintain a database of prospective families and provide management with feedback on parent needs, market trends, and enrolment opportunities.
  • Prepare accounts receivable, fee collection, outstanding debt, and payment reports for management and finance.
  • Maintain accurate financial and student records and provide documentation required for audits, reconciliations, and compliance.
  • Support the Finance and Administration team with other duties as assigned by management.
