Role Overview
The Finance & Administration Manager ensures the financial health and operational efficiency of the organization. This role oversees all accounting, budgeting, payroll, compliance, and internal administration—from procurement to facility management (if applicable).
Key Responsibilities
- Financial Management: Lead monthly closing, accounts payable/receivable, bank reconciliations, and cash flow forecasting.
- Budgeting & Reporting: Produce annual budget, quarterly reforecasts, and variance analyses for department heads and leadership. Prepare board/ investor financial packets.
- Compliance & Audit: Ensure timely tax filings (sales, payroll, corporate), coordinate annual audit, and maintain internal controls. Manage business insurance and legal registrations.
- Payroll & Benefits: Process semi-monthly payroll, manage benefits administration (health, 401k, PTO tracking), and serve as primary contact for payroll provider.
- Administration: Oversee office/facility leases, vendor contracts, IT purchasing coordination, and administrative staff (if any). Maintain document retention policies.
- Grants & Contracts Support: Work with development or partnerships team to track grant financial reporting requirements and partner contract billing.
- Systems Improvement: Implement or optimize finance tools (e.g., QuickBooks, Expensify, NetSuite) and admin processes for scalability.
Qualifications
- Experience: 5–7 years in accounting/finance, with at least 2 years in a managerial or standalone role. Nonprofit or creative industry experience a plus.
- Certification: CPA or CMA strongly preferred; or demonstrated equivalent experience.
- Technical Skills: Expert in QuickBooks Online, advanced Excel (pivot tables, XLOOKUP), and payroll software (Gusto/ADP). Familiarity with bill.com or Expensify.
- Soft Skills: High integrity, detail obsession, clear communication of financial concepts to non-finance colleagues.
- Education: Bachelor’s in Accounting, Finance, Business Administration, or related.
