Drop of Compassion (DOC) is a UK-based charity committed to creating sustainable change. Since 2013, DOC has been actively working in Malawi by partnering with local organizations to empower communities and improve lives through transformative projects. These initiatives include constructing health and maternity clinics in remote villages, developing irrigation systems, building and managing primary and secondary schools, providing emergency relief during natural disasters, and drilling boreholes.

We are seeking to recruit a suitably qualified, highly motivated, and hardworking individual for the position of Finance and Administration Officer at our Blantyre office. This is a fixed-term appointment, contingent on performance and the availability of funds.

Job Summary:

The Finance and Administration Officer will be responsible for managing financial records, supporting budgeting and reporting processes, and overseeing day-to-day administrative functions to ensure the smooth operation of the organization. The role requires strong attention to detail, integrity, and the ability to work efficiently in a dynamic environment.

Responsibilities or duties

  • Maintain accurate financial records, including bookkeeping, data entry, and filing of financial documents.
  • Prepare financial reports, budgets, and forecasts to support organizational planning and decision-making.
  • Process payments, invoices, and receipts, ensuring compliance with organizational policies and procedures.
  • Monitor cash flow and ensure proper management of funds.
  • Support internal and external audits by preparing required documentation.
  • Ensure compliance with financial regulations, donor requirements, and internal controls.
  • Manage petty cash and reconcile accounts regularly.
  • Provide administrative support, including procurement, logistics coordination, and office management.
  • Maintain inventory records and oversee asset management.
  • Assist with HR-related administrative tasks such as maintaining staff records and coordinating meetings.
  • Ensure proper documentation and filing systems for both financial and administrative records.

Qualifications or requirements (e.g., education, skills)

  • Bachelor’s Degree in Accounting, Finance, Business Administration, or related field
  • Proven experience in accounting and administrative roles
  • Strong knowledge of accounting principles and financial reporting
  • Proficiency in accounting software and Microsoft Office applications (especially SAGE and Excel)
  • Excellent organizational and time management skills
  • Strong communication and interpersonal skills
  • High level of integrity, confidentiality, and attention to detail
  • Ability to work independently and as part of a team
