About the Project
DT Global is currently implementing a development project in Malawi titled “Technical Assistance to PSD Support Agencies – Tikuze Malawi”, in collaboration with various government agencies.
DT Global is seeking a Project Assistant to support the team of experts mobilized in Lilongwe. The Project Assistant will report to the Team Leader on the field and the Project Manager at DT Global, and will work under the supervision of an Office Manager.
The position will commence on 20th January and run until the end of the project, approximately 48 months, with a 3-month probation period starting on the first day of employment.
Key Responsibilities
General Project Support and Financial Administration
Provide general administrative support to the Team Leader and DT Global staff
Facilitate clear and effective communication with the project Beneficiary
Maintain accurate records of timesheets for long-term and short-term experts
Assist with team meetings, including scheduling, coordination, and translation services
Arrange meetings, workshops, conferences, training sessions, and networking events
Liaise and negotiate with vendors, hotels, travel agencies, and transport providers for logistics and events
Support internal and external communications efforts
Prepare, package, and format project deliverables to ensure consistency and quality
HR, Logistics, and Financial Support
Manage HR records, including database maintenance
Manage weekend, public holiday, and home-based work requests
Arrange Key Expert (KE) and Non-Key Expert (NKE) travel when applicable
Arrange accommodation for KE and NKE when applicable
Maintain and update contact lists
Oversee the management of invoices
Organize and prepare documentation for six-monthly audits
Perform any other official duties as assigned by the Project Team Leader or DT Global Project Manager
Qualifications and Experience
Minimum of 2 years’ relevant experience in office management and financial administration, including budgeting and administrative support
Proven experience working with international and multicultural teams
Strong willingness to learn and grow with a proactive mindset
Solid knowledge of IT tools including Microsoft Outlook, Teams, Word, Excel, and other productivity software
Ability to work independently and meet deadlines with minimal supervision
Highly organized, responsible, and proactive, with excellent time management and attention to detail
Advanced proficiency in English
