Procurement Officer

REPORTING TO: Supply Chain Manager/FD

KEY DUTIES AND RESPONSIBILITIES

  • Collaborate with Operations department to forecast demand, Source procurement quotations in accordance with Government approved procedures
  • Coordinate with suppliers and internal teams
  • Identify and mitigate supply chain risks
  • Assist in developing cost procurement plans for projects in response to project work schedules, processing relevant procurement documents.
  • Negotiate prices, terms with suppliers, service providers and develop contracts
  • Evaluate, maintain procurement files and records appropriately using technology to improve tracking and reporting of materials, tools distribution, storage or inventory.
  • Provide clerical services in preparing procurement plans and program
  • Implement ware housing management systems, processing and updating stocks inventory
  • Ensure vehicle utilization, maintenance, fuel consumption, monitoring controls system.
  • Improve processes for efficiency and cost saving.

QUALIFICATIONS AND EXPERIENCE

  • Diploma in supply Chain and logistics, those with degree will have added advantage.
  • Knowledge of procurement regulations and best practices
  • Those who are a member of the Malawi Institute of Procurement and Supply (MIPS) will have added advantage.
  • At least five (5) years ‘and above work experience in procurement field.

KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to understand and interpret public procurement related laws and regulations
  • Honesty, integrity and confidentiality
  • Excellent numerical and analytical skills.
  • Excellent computer literacy.
  • Good communication and report writing skills.
