PROCUREMENT OFFICER

We are seeking applications from suitably qualified, experienced and highly motivated candidates to fill the position of Procurement Officer, tenable at the company’s Estate in Ekwendeni, Mzimba

The successful candidate will be responsible for managing the end-to-end procurement function for Tropha Estates Limited, covering both local and international sourcing. The role requires close coordination with Logistics, Finance, Agronomy, Processing, Farm Operations and other departments to ensure that goods, equipment and agricultural inputs are sourced, delivered and distributed on time, within budget and in line with company requirements.

KEY RESPONSIBILITIES

The Procurement Officer will be expected to:

  • Manage procurement of agricultural inputs, machinery, spare parts, packaging, office supplies and other operational requirements.
  • Source and negotiate with local and international suppliers to achieve value for money and reliable supply.
  • Coordinate with the Logistics Department on transport, customs clearance, receipt, storage and distribution of procured goods.
  • Maintain an approved supplier register and support supplier performance reviews.
  • Work with department heads to forecast procurement needs and communicate order status, delays and supply chain updates.
  • Ensure procurement activities comply with company policies, applicable laws and import/export requirements.
  • Prepare and manage purchase orders, supplier contracts and service level agreements.

QUALIFICATIONS, SKILLS, AND ATTRIBUTES

  • Diploma or Bachelor’s degree in Supply Chain Management, Procurement or a related field.
  • Membership or certification with CIPS or CIPS Malawi will be an added advantage.
  • At least three to five years’ proven experience in procurement, preferably in agriculture, manufacturing or FMCG.
  • Demonstrated experience in international procurement, customs clearing, freight forwarding and shipping documentation.

PERSONAL ATTRIBUTES:

The ideal candidate must have:

  • Excellent written and spoken communication skills in English and Chichewa.
  • Strong negotiation, planning, analytical and problem-solving skills.
  • High levels of integrity, transparency and commitment to ethical sourcing.
  • Ability to work effectively in a rural farming environment and respond to operational demands.
  • Proficiency in procurement systems, ERP systems and Microsoft Excel.
