A reputable primary school operating at the former Stance Private School campus in Area 23 invites applications from suitably qualified and experienced individuals to fill the following positions:

SECRETARY / ADMINISTRATIVE ASSISTANT

Job Purpose

The Secretary/Administrative Assistant provides efficient administrative, clerical, communication, and reception support to the school and assists management, teachers, parents, pupils, and visitors with routine administrative matters.

Key Responsibilities

  • Receive and direct visitors, parents, pupils, and other members of the public.
  • Answer telephone calls, respond to routine enquiries, and manage correspondence.
  • Receive, record, distribute, and file incoming and outgoing documents.
  • Prepare letters, notices, reports, minutes, forms, and other administrative documents.
  • Maintain accurate school records and filing systems.
  • Assist with pupil admissions, registration, attendance records, and administrative documentation.
  • Maintain confidential staff, pupil, financial, and school information.
  • Schedule meetings and appointments and assist with meeting arrangements.
  • Support school management with day-to-day administrative activities.
  • Maintain office supplies and report shortages.
  • Assist with basic financial administration, receipts, records, and payments where required.
  • Enter, update, and retrieve information using computer systems.
  • Use Microsoft Word, Excel, email, and other relevant office applications.
  • Assist with communication between school management, teachers, parents, and other stakeholders.
  • Maintain a professional and welcoming reception environment.
  • Ensure administrative activities comply with school policies and procedures.
  • Perform other reasonable administrative duties assigned by management.

Requirements

  • Relevant qualification in Secretarial Studies, Business Administration, Office Administration, or a related field.
  • Previous experience in a school or office environment is preferred.
  • Good written and verbal communication skills.
  • Computer literacy and proficiency in common office applications.
  • Strong organisational and record-keeping skills.
  • Professionalism, discretion, confidentiality, and attention to detail.
  • Ability to work effectively with parents, pupils, staff, and visitors.
  • Suitable references.
  • Relevant experience and qualifications for each role
