Background

The Malawi Enterprise Development Fund Limited (MEDF) is a government owned Microfinance Institution whose mission is to economically empower ordinary and underserved Malawian (particularly women, youth, and persons with disability) through the provision of quality, affordable and sustainable microfinance services for Improved.

Job Purpose

To provide efficient administrative support to the Chief Executive Officer and other attached offices, ensuring utmost confidentiality of all matters dealt

Key Duties and Responsibilities

  • Providing administrative and secretarial support to the CEO
  • Organizing and coordinating workshops, conferences, and meetings for the CEO and senior management
  • Maintaining the CEO’s appointment diary and schedule meetings
  • Liaising with Board members, directors, and other government officials as needed to assist the CEO in fulfilling their responsibilities
  • Managing incoming and outgoing calls for the CEO
  • Maintaining and updating information and data systems as required in the CEO’s office
  • Processing all correspondence and reports for the CEO
  • Compiling and preparing briefing materials, reports, and presentations for the CEO in preparation of meetings or events
  • Taking notes and draft minutes during meetings as necessary
  • Handling sensitive and confidential information with discretion and maintain confidentiality at all times
  • Tracking action items from meetings and ensure timely follow-up on tasks assigned to the CEO or other team members
  • Organize travel itineraries, accommodations, and logistics for the CEO’s business trips
  • Overseeing the management of materials in the CEO’s office.

Qualifications and Experience

  • A Degree in Administrative Studies or Business Administration and a Diploma in Secretarial Management from an NCHE-accredited institution will be an added advantage.
  • A minimum of Seven (7) years’ working experience in a high-level secretariat office, serving in the capacity of a personal Assistant.
