SITE ADMINISTRATOR (4)
Reporting to: Senior Site Administrator
Role Summary
The Site Administrator is responsible for providing administrative and financial support to site operations. The role involves managing site cash and labor payments, coordinating the procurement of materials, maintaining accurate financial and administrative records, preparing monthly financial and operational reports, and ensuring compliance with company policies and procedures. The successful candidate must be willing and able to work in remote and rural project locations.
Job Requirements
- Diploma or Bachelor’s Degree in Business Administration, Public Administration, Accounting, or a related field.
- Minimum of 2 years’ experience in an administrative role, preferably within the construction industry.
- Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
- Strong organizational, record management, and basic financial management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks effectively.
- High level of integrity, confidentiality, and professionalism.
Roles and Responsibilities
- Manage site administration and maintain accurate records and documentation.
- Administer site cash and ensure all transactions comply with company financial procedures.
- Process labor and other approved site payments accurately and on time.
- Coordinate the procurement of construction materials and supplies in accordance with company procedures.
- Monitor material requests, deliveries, and maintain procurement records.
- Maintain cashbooks, payment vouchers, and supporting financial documentation.
- Prepare and submit monthly financial reports, expenditure summaries, and cash reconciliations to the Head Office.
- Prepare administrative and operational reports as required.
- Maintain employee attendance registers and other site records.
- Coordinate filing and safekeeping of project documents and company assets.
- Liaise with the Head Office on administrative, procurement, and financial matters.
- Ensure accountability for all funds, materials, and company assets under their custody.
- Perform any other duties assigned from time to time.
