Background
Passion Center is a non-profit organization founded in 2005 with a mission to join God in rescuing, redeeming, and restoring orphans, the vulnerable and their communities. Our vision is to see all Malawians experience the love and grace of God through Christ-centered, church-based community transformation. Passion Center is a community ministry and development arm of Mulunguzi (Bible) Community Church based in Zomba. The organization is currently implementing various program interventions in Childcare & protection, Education, Community Health, Champions Club (support for special needs), Sustainment/Economic empowerment, and training of pastors and church leaders in rural areas.
Responsibilities
- Receive, inspect, and record all goods/supplies using approved documentation (GRNs, delivery notes, etc.).
- Maintain accurate, up-to-date inventory records of all goods/supplies using approved manual and/or electronic systems.
- Monitor stock levels of goods/supplies ensuring optimal inventory levels to prevent shortages or overstocking.
- Implement FIFO/FEFO principles where applicable for goods/supplies ( food, medical, ECD supplies).
- Conduct periodic physical stock counts and reconcile discrepancies.
- Ensure proper storage, cleanliness, organization, and security of all stores.
- Lead in periodic inventory sorting, verification and tagging as required.
- Coordinate timely dispatch of goods/supplies to program teams and beneficiaries.
- Support coordination with vendors/suppliers to ensure timely delivery of goods and supplies.
- Prepare contingency plans to minimize delivery delays and logistical disruption.
- Support transport planning and delivery schedules in liaison with Administration office and Program leads.
- Ensure all store transactions are supported by complete and approved documentation.
- Maintain stock issue records and ensure authorization for all store releases.
- Ensure adherence to organizational stores/inventory management and procurement policies to optimize resources.
- Ensure compliance with safety and storage regulations for all goods and supplies.
- Support preparation of purchase requisitions based on stock forecasts.
- Lead in forecasting inventory needs in alignment with program goals.
- Prepare monthly stock movement and consumption reports by program.
- Provide stock variance analysis and highlight usage trends.
- Prepare and submit periodic inventory balance reports and discrepancies to the Finance and Administration officer.
- Report damaged, obsolete, or missing inventory promptly.
- Identify and report risks related to stock loss, pilferage, or damage.
- Ensure supplies for beneficiaries are handled and distributed with integrity and dignity.
- Uphold confidentiality and comply with child protection and safeguarding policies.
- Participate in internal and external audits.
- Carry out any other duties assigned from time to time.
Qualifications & Experience
- Diploma or Bachelor’s degree in Logistics, Supply Chain management or any related qualification from an accredited institution.
- At least three (3) years’ experience in a similar role.
- Must have a Clean Driver’s license with at least three (3) years driving experience.

- A mature Christian with exemplary character.
- Excellent written and verbal communication skills.
- Advanced knowledge in using MS Office (Word, Excel, PowerPoint)
- Good Knowledge of stores/Inventory management systems and policies.
- Highly energetic, well organized and pays attention to detail.
